Should You Ask Customers for a Booking Deposit?

Deposits can protect valuable appointment time, but the policy must feel fair. Here is how to decide when and how much to charge.

What a deposit is meant to do

A booking deposit is a partial payment collected before an appointment. It confirms the customer’s intention to attend and reduces the business’s loss when someone does not arrive.

Deposits are especially useful when an appointment:

  • Takes a long time
  • Requires advance preparation
  • Uses expensive materials
  • Involves several staff members
  • Is scheduled during a high-demand period

A deposit should protect the booking without creating unnecessary friction for trustworthy customers.

When deposits make sense

You may not need a deposit for every service. A short haircut and a four-hour colour treatment create different levels of risk.

Consider deposits for bridal services, group appointments, home visits, premium treatments, or bookings longer than a set duration. You can also require them from customers with repeated no-shows.

Tip: Start with the appointments that cause the greatest loss when missed. Review the results before expanding the policy.

Choosing the amount

The amount should be large enough to create commitment but not so large that customers abandon the booking.

You might charge a fixed amount or a percentage of the service price. Whatever method you choose, keep it simple and apply it consistently.

Explain whether the deposit:

  • Is deducted from the final bill
  • Can be moved to a new appointment
  • Is refunded after a timely cancellation
  • Is retained after a late cancellation or no-show

Make payment convenient

A deposit policy only works when customers can pay easily. Offer familiar payment methods available in your market, such as mobile money, bank transfer, or card payment.

Customers should receive confirmation when the payment succeeds. They should also be able to see the deposit amount and remaining balance before the appointment.

Communicate the policy before payment

Never surprise a customer with conditions after collecting their money. Show the cancellation and refund terms during booking and include them in the confirmation message.

Use direct, respectful language. For example:

A deposit of GH₵50 secures this appointment and will be deducted from your final bill. You may reschedule once without losing the deposit when you contact us at least 24 hours before your appointment.

Review the impact

Track no-shows, cancellations, abandoned bookings, and customer feedback before and after introducing deposits.

If no-shows decrease but many customers stop before completing their bookings, the deposit may be too high or the policy may be unclear.

The best deposit policy protects your team’s time while remaining easy for customers to understand.
