Automation should still feel personal
Customers want quick answers, but your team cannot spend the entire day sending messages. Automation handles predictable updates while leaving staff free to manage conversations that need personal attention.
Every automated message should be brief, useful, and clear about what the customer should do next.
1. Booking confirmation
Send this immediately after a booking is created.
Your appointment at Glow Studio is confirmed for 10:30 AM on Saturday, 8 August. You booked a wash and styling session with Nadia.
Include the business name, service, date, time, and location or directions link.
2. Appointment reminder
Send a reminder approximately 24 hours before the appointment. Include a simple way to confirm, cancel, or reschedule.
Avoid sending the same reminder repeatedly unless the appointment requires special preparation.
3. Deposit request
If the booking requires a deposit, explain the amount, deadline, and payment method.
A deposit of ₦5,000 is required to secure your appointment. It will be deducted from your final bill. Complete payment here: [payment link]
Only mark the appointment as confirmed after the payment provider reports a successful transaction.
4. Payment confirmation
Customers should never have to ask whether their payment arrived.
Confirm the amount received, what it was for, and any remaining balance. Do not include sensitive payment details in the message.
5. Rescheduling confirmation
When an appointment changes, send the new information clearly. Mention both the updated date and time so customers do not rely on an older message.
6. Post-appointment thank-you
A short thank-you message can strengthen the customer relationship.
You may include a review request, care instructions, or rebooking link. Keep the main purpose clear instead of combining several promotions in one message.
7. Time-to-return reminder
Some services follow a natural schedule. A customer may need another haircut in three weeks or a manicure in four weeks.
Send a reminder near the expected return date, but let the customer decide whether to book.
Tip: Ask customers for permission before sending promotional messages. Transactional updates and marketing campaigns should be treated differently.
Give customers control
Include a clear way to stop promotional messages. Respect quiet hours and local communication rules.
Automation works best when it reduces uncertainty. Customers should know whether their booking is confirmed, whether payment succeeded, and what happens next.
